Payroll Coordinator
Department - Human Resources and Training
FLSA Status - non-exempt
Job Summary
Primarily responsible for processing payroll, its ancillary functions and personnel records management. Assist with employee benefit administration, employee orientation and ongoing training related to personnel functions and, in a back-up capacity, the hiring process.
Essential Functions
Establish records and complete payroll cycle for employees and individuals served on a bi-weekly basis.
Ensure quarterly payroll tax reports are completed by HR and Payroll vendor and maintain records.
Ensure W-2 statements are completed and distributed by the HR and Payroll vendor.
Assist with any audits as requested.
Assist with establishing and maintaining employee profile records.
Process employee background checks upon hire and then every two years for existing staff, or upon request.
Submit "no driving" notices to supervisors for employees with restricted driving privileges and follow-up when restriction period expires.
Coordinate and process the administration of employee benefits.
Perform duties required by KPERS and process reports.
Compile data and prepare reports (i.e., employee turnover, retention, census, and others upon request).
Provide training in areas of responsibility upon request.
Perform duties of the Manager of Human Resource Services on a back up basis.
Maintain knowledge and skills related to human resources, in particular payroll, through regular review of written materials and attendance at training events.
Oversee health insurance related enrollments, including notifying employees and supervisors of eligibility deadlines.

Other Responsibilities
Complete other duties as assigned by the Manager of Human Resource Services and/or the Director of Administrative Services.
This position is not subject to the two year training period as defined by KPERS.
Job Specifications
Education - High School Diploma or equivalent required. Post secondary education related to bookkeeping and/or data processing preferred.
Experience - One year payroll processing experience required. Other bookkeeping or data entry experience preferred.
Extent of physical effort required - Routine job requirements. Little if any behavior or other physical intervention.
Other Requirements
Able to exercise good judgment and discretion in handling confidential information.
Valid driver's license.
